Transforming Activity Tracking in Hospices with Power Platform

Naomi House & Jacksplace, is a specialist hospice serving over 500 children, young adults, and their families across central southern England. They were looking for a partner to help them improve how clinical and non-clinical activity was tracked.

Previously reliant on spreadsheets, the organisation faced significant limitations in capturing the full scope of work being delivered. Crucial clinical activities involving non-referred patients were not being recorded, resulting in a lack of visibility and reporting capability. Similarly, vital non-clinical contributions, such as leadership, teaching, and research, were omitted, obscuring the breadth and impact of staff efforts.

In addition to these gaps, the organisation struggled to visualise data in a way that supported meaningful interpretation and reporting, particularly around outreach initiatives and service impact.

A smarter way of working for hospice staff​

To address these issues, the team embarked on a project using Microsoft Power Platform to design and implement a comprehensive and efficient solution. The goal was to create a system that would not only streamline activity tracking but also support informed decision-making and improve overall operational efficiency.

The solution involved the development of a Power App tailored for creating and managing both patient-facing and non-patient activity records. This app was complemented by a Power BI report that enabled dynamic data analysis and visualisation. Together, these tools provided a unified platform for capturing, exploring, and reporting on a wide range of activities. The functional requirements covered key areas such as activity categorisation, reporting and analytics, user roles and permissions, and intuitive user interface design.

Impact from day one​

The solution delivered measurable improvements across multiple workstreams. By streamlining data entry and reporting processes, it significantly reduced administrative burden. Standardised input and validation enhanced the reliability and consistency of reporting.

Staff felt that their full scope of work was both recognised and valued, contributing to improved morale and engagement. The system also provided greater visibility into critical areas such as safeguarding, outreach, and leadership activities.

Furthermore, its scalable design ensures readiness for future enhancements and seamless integration with broader organisational systems.

A true partnership

Marra’s collaborative handover and upskilling approach ensured both IT and business users could independently maintain and enhance the solution as business needs evolved.

This project demonstrates the power of low-code tools in solving complex operational challenges within healthcare settings. By capturing both clinical and non-clinical activity, Naomi House & Jacksplace now have a robust foundation for data-driven decision-making and continuous service improvement.

Importantly, this project also marked the beginning of Naomi House’s journey with Power Platform, opening their eyes to what’s possible and giving them the confidence to pursue further digital initiatives independently. ​
